How far out do you recommend couples book and what can they be doing in the meantime?
For our venue, we see 12-18 months in advance as a typical booking window, especially for those April and October Saturday wedding dates! That being said, we have also planned a wedding in as little as 3 weeks prior to the wedding date and have been able to seamlessly manage both timelines! In the meantime, we suggest taking a look at your priorities for your wedding day and assembling your vendor team accordingly. Some of your favorite vendors will book in a similar timeline to venues!
How do you typically work with planners throughout the process from booking to the big day? When do you feel most in sync with a planner during the wedding process?
At our venue, we require all couples to have at least a wedding coordinator. I'd say about half of our couples come to us with a planner already on board, while the other half bring one on later—but we always appreciate it when a professional is involved early. It helps ensure that wedding priorities stay aligned from the start, especially when selecting a venue.
The bulk of our planning is done at the point of their menu tasting (typically 3-6 months out from their event) and that is when we feel most in-sync with a planner. We love having a planner present for the menu tasting and the full property walkthrough afterwards so we can, as a team, select all the fine details and walk out of that meeting in stride through the rest of their engagement.
What do you think sets a well-planned wedding apart from one that just looks good?
A DETAILED and REALISTIC timeline! A wedding where you can seamlessly flow from set up, to guest arrival, to reception for all parties involved. We've seen firsthand that it’s not just about a beautiful day and an endless list of rentals. It’s about flow, timing, and the couples’ intention shining through every detail. When those elements are in sync, the beauty becomes more than visual!

What are some details couples tend to overlook when choosing a venue?
Couples often focus on just the look of the space—and while Perry Lane is gorgeous (I may be biased), we encourage them to think about the full guest experience. Details like flow between events, weather back-up plans, accessibility for older guests, and even non-wedding-specific items like valet, guests being greeted by the hotel and vendor team, and appropriate vendor access are all equally as important. A stunning venue should be more than a backdrop—it should support the whole weekend logistically, as well.
What are some of the most common misconceptions couples have about venue logistics?
Often couples will think that venue teams are the same as wedding planners. We are not! We are in charge of the venue, set up, catering, and break down but a planner is such an important part of a wedding day - from timelines to managing outside vendors and personal items, they are crucial in any event.
What do you wish more couples understood about the timeline needed for venue prep and setup?
That creating a beautifully orchestrated day takes time—and space. At Perry Lane, we do everything we can to accommodate early access and vendor load-in, but couples are often surprised by how long it takes for some of their favorite pins on Pinterest to come to life. Especially when it comes to large-scale floral installations, lighting, or specialty rentals, having a realistic setup window is key to allowing vendors to do their best work without rushing. Keep this in mind when contracting your event and set-up time!
What’s something that seems small but makes a big difference on wedding day?
Personalized guest-experience details make the biggest impact for me! A well-planned guest welcome including their favorite cocktails passed as guests enter with a personalized drink stirrer or cocktail nap is seemingly a ‘cute’ detail but also aids in bar traffic as guests enter so no one is waiting in line!
As well as any hidden private moments for our couples’ is always impactful as this was one of my favorite parts of my wedding day! We love hosting a private meal for our couples on our small terrace opposite to the cocktail hour rooftop. While their guests are gabbing away, they are able to reconnect and actually eat their meals!
